Your Essential Wedding Day Timeline

As wedding planners, we understand how important it is for your wedding day to run smoothly. Having a well-organized timeline can make a huge difference, ensuring that every special moment is celebrated seamlessly. Here’s a basic wedding day timeline to guide you through each step of the event:



Getting Ready:

Tip: Start early to avoid rushing. Allocate 2-4 hours for hair, makeup, and dressing. This time also includes capturing those special pre-wedding moments with your bridal party and detailed shots of your wedding invites as well as your gorgeous dress. Factor in time for any unexpected delays and also consider adding extra time if you have a bigger bridal party. Consider setting up a comfortable space for your bridal party where everyone can get ready together and enjoy the process. If you're also planning to have your photographer do flat-lay detail shots and dress hanging shots, allot at least an hour, as it takes time to style and curate these photos.



First Look:

Tip: Plan your first look before the ceremony to capture intimate moments with your partner. Choose a quiet location where you can share this private moment without distractions. This also allows your photographer to get some great shots of the reaction. Some couples also opt to exchange private personal vows at this time instead of publically at the ceremony. We recommend allocating about 30 minutes for the First Look.


Photo Session:

Tip: Allow at least 2 hours, longer if you have a larger group, for your photo session with the wedding party, immediate family, and your couple portraits. Create a list of must-have shots and share it with your photographer in advance. Work with your photographer to designate specific locations for these photos ahead of time, if possible, to minimize travel time and to keep the process organized.



Ceremony:

Tip: The wedding ceremony is on average between 15-30 minutes, to maintain the attention and energy of your guests. Plan a rehearsal to ensure everyone who is participating in the ceremony knows their cues and the flow of the ceremony. This practice helps prevent any last-minute surprises or awkwardness on the day of.


Group Photos:

Tip: Allocate 10-15 minutes for group photos immediately after the ceremony. Create a photo list of family members, and/or friends, of no more than 10-15 groups for photos and assign someone to help wrangle the guests. This will streamline the process and make it more efficient.



Couple Portraits:

Tip: During the cocktail hour, if you'd like, set aside 20-30 minutes for more couple portraits. Typically for a dinner reception wedding, the cocktail hour is during the golden sunset hour, so it's a great time to take romantic photos. Choose a few key locations in advance that match your vision and ensure your photographer knows your preferences. Use this time to relax and enjoy each other’s company while capturing beautiful & memorable images.



Grand Entrance:

Tip: Plan a grand entrance around 5 min long that reflects your style and sets the tone for the reception. Coordinate with your DJ or band to ensure the music and timing are just right. This moment is a great opportunity to make a memorable impression on your guests.


First Dance:

Tip: A first dance is realistically usually around 1-3 minutes but it is good to schedule around 5 minutes. If you have a choreographed routine, practice it beforehand. Make sure the space is clear and ready for this special moment to ensure everything goes smoothly.


Speeches:

Tip: Allow up to 5 minutes per speech to keep the reception moving. Let your speakers know about the schedule and timing before the big day. If you have several speeches, consider having a designated person manage the transitions to keep things on track.



Table Visits:

Tip: Plan to spend 1-2 minutes at each table to greet and thank your guests for coming. Prioritize tables with close family and friends first. Another tip is to talk to your photographer beforehand and let them know if you would like additional photos with your guests at this time. If you have a larger group and would still like to take a photo with each table, consider working with your DJ/MC to do a table photo challenge, where the couple takes a quick snap at each table within one song's length.



Parent Dances:

Tip: Schedule 5 minutes for each parent dance. Choose meaningful songs and coordinate with your DJ to ensure the timing is right. These dances are beloved by guests as they are a special tribute to your parents and are a great addition to the evening.


Cake Cutting:

Tip: Set aside 5-10 minutes for the cake-cutting, which is typically followed by a thank-you speech from the newlywed. Ensure the cake is set up in an accessible location for photos. Plan ahead with catering and serving to make sure all your guests get a slice in a timely manner. If you plan to keep the top tier of the cake, make sure to communicate this with your caterer ahead of time, and also ask your bakery vendor to provide an extra box for it.

Bouquet/Garter Toss:

Tip: Schedule about 10 minutes for the bouquet and garter toss. Make sure your DJ/MC is prepared to announce and coordinate these activities.



Open Dance

Tip: Allow plenty of time for open dancing. Create a playlist or work with your DJ to ensure the music keeps everyone on the dance floor. By this time, the main activities are mostly over, so join your guests on the dance floor and enjoy the night!
